Hello, hello - here

please keep the date free for our annual general meeting held at St Georges Hall on Common View, Thu 26th of March from 7:30

a separate and official invite will be send out at least 30 days prior to the event

the AGM will include election of a new committee (every year) and new president (every 3 years), proposed changes to our constitution, review of our finances and membership fee proposals, update on our home situation, charity-of-the year election results (you will be asked to vote prior to the AGM, more to follow), thanks-yous to helpers, coaches, committee members, and of course food :yum:

This letter is to inform you that the 2020 North Herts Road Runners’ Annual General Meeting (AGM) is being held on Thursday 26 March 2020 at 7.30 pm, at St Georges Church Hall, Common View, Letchworth Garden City SG6 1DA. You are invited to attend, your voice is important. Please send any apologies to Lindsay Cook (secretary@nhrr.org.uk).

The agenda for the meeting as of today’s date without any items of AOB can be downloaded from the link at the bottom of this email. If you have any item(s) you would like to be discussed or motions you would like to propose please put them in writing to me, Astrid McKeown (Chairperson chair@nhrr.org.uk) or Lindsay Cook, (Secretary secretary@nhrr.org.uk and postal address 10 Kitchen Garden Court, Hitchin, Herts, SG5 2BY) on or before Friday 20 March 2020. Please note that under the terms of our constitution no additional items of AOB will be discussed on the night. Any issues raised will be discussed at the next committee meeting following the AGM.



The AGM is where we elect our committee for the next year and I would like to take this opportunity to thank all members of the current committee for their outstanding service to the club over the past 12 months. As usual all committee members stand down and either seek re-election or decide that it is time to retire. We do hope that some of you will be interested in seeking election for any of the posts. A job description of the various posts can be downloaded below and if you would like to know more, please speak to the current post holder or any member of the committee. Or come along and chat to any of the current committee members from 830-9 on Tuesday 5 March at Spirella. If you would like to put your name forward for any of the committee roles, please find another club member to propose you and a different club member to second the proposal. Please fill in the form that can be dowloaded below and hand in to Astrid McKeown or Lindsay Cook on or before Friday 20 March 2020 or fill in your details here: https://forms.gle/1E5MAJW66oxjyLJ58.



In addition, this year, the club President, Richard Harbon, is required to stand down having held the post for three years. If you are interested in standing for President then you should express your interest in writing, stating reasons why you would like to be considered for this position and send this together with a completed nomination form to Lindsay as above.



The charity that the club will support in 2020/21 will voted on by email before the AGM so if you would like to nominate a local charity please send your nomination along with the reasons for your suggestion (around 200 words) by Friday 13 March 2020 to Lindsay Cook (secretary@nhrr.org.uk). The details of nominated charities will be shared before the date of the AGM and will voted on by email in advance.



The minutes from the 2019 AGM and copies of the 2019 club accounts are downloadable below. If you have any questions or comments on these then please raise under the appropriate agenda item.



As every year, we will break for food and this year we would like to ask you to bring a ‘plate to share’. Also please bring your own plate etc. so we are as green as we possibly can be.



The committee would like to take this opportunity to thank you for your enthusiasm and support throughout the past 12 months and wish you a year of good health and enjoyable running with NHRR and we look forward to seeing you at the AGM.

We are still hoping to go ahead with an online version of the AGM next week, we will send information as soon as we have it.

In the meantime, a couple of things:

2. This year we are choosing the club charity ahead of the AGM using an online vote, the chosen charity will be announced at the AGM itself. Please see attached information about the charities and once you have decided, please record your vote here: https://forms.gle/7ydy9UUDEDiqRZpG8
